Summary
The Medical Center Representative is responsible for general clerical, receptionist, billing, referrals, patient registration and customer service for the operation of the business office in a medical center. The MCR handles a high volume of sensitive medical, financial and personal information on a daily basis. The MCR is responsible for daily scheduling, incoming calls, patient registration, billing/collection functions, and other duties as assigned.
Nature and Scope
The Medical Center Representative is responsible for the daily operations of the clerical components of the center. The MCR will accurately and efficiently process the arrival and exit of 20 or more patients per day. The MCR is under the direct supervision of the Practice Manager.
The Lead MCR is responsible for overseeing the daily operations of the front desk, supervising and training front office staff, and ensuring exceptional customer service. This role acts as the first point of contact for visitors and patients, requiring strong communication, organizational, and problem-solving skills.
Key Responsibilities:
· Supervising and Training: Leading and mentoring a team of front desk staff, ensuring they provide excellent customer service and adhere to established procedures. AIDET Review.
· Front Desk Operations: Managing the daily activities of the front desk, including answering phones, managing mail, scheduling appointments, delegating tasks to other MCRS, and handling visitor inquiries.
· Customer Service: Ensuring a positive and professional first impression for all visitors and patients, addressing inquiries and resolving issues promptly and effectively. The first point of contact to discuss/address patient concerns utilizing HEART method and then escalating to management as needed.
· Record Keeping: Maintaining accurate and up-to-date records, databases, and files, including confidential information/HIPAA.
· Collaboration: Working with other departments to optimize administrative processes and improve efficiency including clinical staff, providers, vendors, & specialty departments within the building.
· Policy Enforcement: Collaborating with Practice Manager and Clinical Lead to implement and enforce office policies and procedures. Acting as a back-up to the Practice Manager and Clinical Lead when they are not in the office.
· Assisting in Staff Meetings under the direction of the Practice Manager
· Assisting in Crucial Conversations under the direction of the Practice Manager
Qualifications
1. High School diploma or GED, required.
2. Two to three years of experience in an ambulatory health care facility sought.
3. Applicants must have strong knowledge of medical terminology and a thorough understanding of HIPAA law. Confidentiality is of utmost importance.
4. Knowledgeable of Third Party Payers, ICD-10 and CPT Coding is a plus.
5. Computer and Keyboarding skills is required; Experience with Electronic Medical Records is an advantage, EPIC is preferred.
6. The ability to prioritize and perform multiple tasks in a fast-paced environment is essential.
7. Ability to work well with multiple teams and in multiple settings.
