MGR-SUPP STAFF/MED REC/OFF PRG
The Manager Support Staff/ Medical Records functions as a member of SBHI’s management team. The Manager Support Staff/ Medical Records is responsible to ensure the front desk support services are adequately staffed to provide prompt, accurate, customer centered services to patients, staff, and other customers in compliance with HIPAA and other regulations. The Manager Support Staff/ Medical Records ensures that the front desk support staff accurately completes processing of required patient documentation including payment information, payment collection, and MITS checks if applicable. The support staff is also responsible for the registration of all new clients for the ICS , YCATS, Substance Abuse Services, and SBHI Warren/Butler programs. This position also has oversight of medical records staff that provides services to the ICS, YCATS, School Services, Substance Abuse Services, SBHI Warren/Butler and Miami County office programs.
1. Supervise and manage the daily workflow of Support Staff & Medical Records
2. Coordinate with providers and other staff to ensure smooth and efficient patient flow
3. Maintain and strengthen working relationships with all customers and agencies. Communicate and perform all duties with respect and efficient follow up.
4. Answer telephones, take messages, and forward calls in a friendly, helpful, and timely manner. Contact a director in the event there is a problematic phone conversation with a patient
5. Respond and comply with all administrative/managerial email communication within the requested timeframe
6. Attend Medical Services team meetings on a consistent basis
7. As a result of patient cancellations, back-fill therapist schedules when needed
8. Review and communicate client inactivity in all clinical programming to providers and supervisors to aid in closures
9. When needed, coordinate communication between other SBHI program support staff and coverage of support areas
10. Ensure support staff front desk is adequately staffed to manage patient registrations and answer phone calls
11. Ensure accurate checks of MITS monthly
12. Manage co-pay system and ensure front desk staff are consistently collecting
13. Maintain oversight of front desk staff to ensure that face sheets, front desk annual updates, and message boards are kept up to date
14. Gain understanding of medical processes and cover as needed
15. Provide direct supervision & facilitate staff meetings to support staff
