Position: System Administrator-Oncology Program 

Department: Oncology Support Services 

Shift: 8AM-4:30PM

Status: Full-time/ 80 hours per pay period 

Facility: Miami Valley South 

The Oncology Program Administrator will oversee administrative and clinical operations for multiple hospital clinics
providing high risk assessments, genetics, survivorship, and other ambulatory services. Oncology Program
Administrator will lead a team of Registered Nurses, other clinical staff, and administrative specialists. The Oncology
Program Administrator is responsible for implementing quality improvement initiatives, evaluating staff performance,
and collaborating with Providers to provide exceptional patient care. The Oncology Program Administrator will also
ensure the fiscal stability and growth of the clinics.
Collaborates with physician and staff to ensure positive patient experiences, maximizing patient flow, minimizing
vendor disruptions, and effectively addresses complaints and issues. Manages the clinics to include front desk
procedures, bookkeeping, patient billing, office/clinical supplies, budget, collections, insurance, and evaluates work
process and patient service issues for continuous improvement opportunities. Completes/oversees coding and
approval of invoices. Develops preferred capture strategies with assistance of Operations Director. Works with
Operations Administrator and/or Director of Operations in developing budget.
Maintains confidentiality with patient records in accordance with HIPAA. Ensures the practice remains compliant with
all regulatory agencies (e.g. CLIA, TDDD, OSHA, Board of Pharmacy, etc.). Ensures staff complete mandatory
network requirements.
Manages staff-to-provider ratio, adjusting staff schedules and filling in as needed. Processes staff time and
attendance bi-weekly, monitoring and maintaining accurate TOP records, tardiness, and absences. Tracks provider
time-off according to their benefit summary. Conducts coaching, development, corrective action, staff evaluations,
and provides reward and recognition to keep employees engaged and productive. Follows the Just Culture process
as appropriate.

Minimum Level of Education Required: Bachelor's degree

Experience
Minimum Level of Experience Required: 3 - 5 years of job related experience
Prior job title or occupational experience: Oncology experience

Knowledge/Skills
▪ Knowledge of medical billing requirements, third party payers, coordination of benefits, scheduling
practices and provider template management required
▪ Demonstrated performance excellence and leadership qualities in previous positions
▪ Demonstrates an aptitude and willingness to learn new responsibilities
▪ Excellent verbal and written communication skills
▪ Excellent organization, interpersonal, and customer service skills
▪ Ability to work independently, make decisions, meet deadlines, multi-task and solve problems;
working under a moderate to high degree of pressure
▪ Proficiency in PC software, especially word processing and spreadsheet programs
▪ Experience with a hospital-based computer system (preferably Epic)
