Position Summary

General Summary/Responsibilities:

This position provides high-level administrative support to the Trauma Surgery Division and its faculty. The role involves managing complex calendars, coordinating academic and clinical schedules, organizing meetings and educational programs, and serving as a liaison between internal departments and external partners. The individual in this role ensures smooth daily operations, accurate communication, and efficient coordination across multiple priorities.

Essential Duties & Functions:

·       Provide administrative support to 12 Trauma Surgeons, including managing and coordinating Outlook and practice office calendars.

·       Arrange and coordinate travel for academic and professional events; prepare and submit related reimbursements and documentation for grants or foundation-funded travel.

·       Coordinate and schedule multiple meetings, including monthly Trauma Division and Faculty meetings.

·       Prepare and distribute agendas, record and maintain meeting minutes, and ensure follow-up on action items.

·       Prepare general correspondence, reports, and spreadsheets; distribute to appropriate parties.

·       Handle incoming calls, route inquiries, process mail, maintain filing systems, and assist with special projects.

·       Administer and coordinate monthly trauma call schedules for faculty and rotating Air Force physicians at Miami Valley Hospital and Miami Valley Hospital South.

·       Track call shifts to ensure all surgeons meet contract minimums.

·       Serve as liaison with county prosecutors for criminal subpoenas issued to Trauma Surgeons; obtain case details and schedule pretrial conferences as needed.

·       Coordinate all aspects of ASSET and FCCS GME courses, including planning logistics, recruiting attendees and instructors, and ensuring GME credit and certification processes are completed.

·       Assist the Trauma Program Manager with preparation for trauma center verification with the American College of Surgeons.

·       Other Duties & Functions:

·       Assist the Trauma Program Manager with Trauma center verification with the American College of Surgeons as needed. And other tasks as assigned.

Qualifications

Education

·       Minimum Level of Education Required: Associate degree

·       Additional requirements:

·       Area of study or major: Business or Healthcare

·       Preferred educational qualifications: bachelor’s degree preferred with Business or educational related degree and or five years related experience.
