General Summary/Responsibilities:

The Vaccine Program Coordinator will report to the Quality Director. The Vaccine Program Coordinator is responsible for all aspects of the vaccine program in Premier Physician Network ambulatory offices, including safe handling, storage, regulatory reporting, and timely and efficient ordering practices.

Qualifications 

Education

Minimum Level of Education Required: High School completion / GED High School completion / GEDHigh school diploma/GED

Experience

Minimum Level of Experience Required: 1 - 3  years of job-related experience
Prior job title or occupational experience: Enter prior experience or N/A
Prior specific functional responsibilities: Familiarity with quality programs, vaccine/medication safety, excellent communication abilities

Essential Duties & Functions:

Resource Management
•    Assists in inventory management of vaccine stock in offices
•    Assures timely ordering of vaccines
•    Coordinates employee seasonal vaccine administration on annual basis

Documentation
•    Collects practice emergency plans on an ongoing basis in a centralized electronic PPN corporate file
•    Reviews emergency plans and Vaccines For Children (VFC) vaccine management plans to ensure updates are recorded for changes to practice medical director, manager, and vaccine coordinators
•    Coordinates with PPN Regulatory to assure compliance with documentation and reporting requirements for ODH Vaccines for Children
•    Registers as IMPACTSIIS keymaster to manage manager and staff access to IMPACTSIIS Vaccines Ordering Management System (VOMS)
•    Monitors CDC/Immunize.org for Vaccine Information Sheet (VIS) updates and assures updated VIS utilization in offices
•    Point of contact for Vaccine Adverse Event Reporting
    
Process Improvement
•    Coordinates with Digital Health to implement changes in EHR recommendations for vaccine administration
•    Monitors electronic health data for vaccine gap closure opportunities

Quality Control
•    Assures appropriate storage and handling of vaccines
•    Assures each office has properly installed, operating, and calibrated temperature monitoring devices
•    Provides WiFi temperature monitoring oversight to ensure staff is aware of warnings
•    Intervenes in a timely fashion to prevent vaccine spoilage in the event of temperature excursions
•    Assesses emergency plans for vulnerabilities in vaccine handling on an ongoing basis including ensuring backup facilities can accommodate vaccine inventories during power or refrigeration outages.
•    Collaborates with Quality team in annual reviews of PPN Safety Manual.
•    Collaborates with Operations team on new refrigeration purchases and temperature stabilization

Education
•    Provides training to staff regarding vaccine management and VFC program requirements.
•    Provides training to staff in obtaining patient/parent/guardian consent
•    Disseminates updates to vaccine schedule to clinical staff
•    Acts as Liaison to pharmaceutical representatives and health departments to coordinate training for staff
